Terms of Service
1. Acceptance of these Terms
These Terms of Service ("Terms") govern your use of RosterShare (the "Service"). By creating an account, checking the box confirming your agreement, or otherwise using the Service, you accept these Terms in full. If you do not agree to them, do not use the Service. Where these Terms change materially, you will be asked to accept the updated version before you can continue using the Service (see Section 10).
2. What This Service Is
The Service is an internal, unofficial tool built to help flight crew view and share roster/schedule information sourced from each crew member's own crew scheduling app calendar feed. It is intended exclusively for verified, current flight crew and is provided as a convenience aid, not as an official crew-management or scheduling system.
The Service is not an authoritative source. Always verify your actual duty, standby, and flight assignments against your official airline roster before relying on anything shown here. Sync delays, feed errors, or classification mistakes are possible (see Section 8).
3. Eligibility and Account Approval
- The Service is only for genuine, currently active flight crew. New accounts are reviewed and approved by an administrator before you can see any roster data (see the Privacy Notice for what "Company Email Verified" checking involves).
- An administrator may reject, suspend, or remove any account, including if the information provided is inaccurate, if it appears to belong to someone who is no longer active crew, or if these Terms are breached.
- If an administrator sets up your account on your behalf rather than you signing up yourself, you will be asked to review and accept these Terms and the Privacy Notice the first time you sign in, before you can access any roster data. This is the same requirement as for any other account.
4. Your Account & Credentials
- You are responsible for keeping your password confidential and for all activity under your account.
- Do not share your login credentials with anyone, including other crew members.
- The crew calendar link (".ics" URL) you provide is itself sensitive: anyone who obtains it can view your real flight schedule directly from your airline's servers, without needing to sign in to this Service at all. Treat it like a password and do not share it outside this Service.
- You warrant that any calendar (".ics") feed URL you provide belongs to you personally and that you have the right to connect it to the Service. Do not submit a feed link that belongs to, or was obtained from, another person.
- Tell us promptly (see Section 11) if you believe your account or your calendar link has been compromised.
5. Acceptable Use
You agree not to:
- Access or attempt to access another crew member's account, data, or calendar link without authorization.
- Use any personal data you can see through the Service (names, ranks, roster assignments, or anything else about another crew member) for any purpose other than the ordinary use the Service is provided for. For example, do not copy, export, or share it outside the Service, or use it to contact colleagues for anything unrelated to crew coordination.
- Use crew messages to harass, threaten or pester colleagues, or to send anything that is not about crew coordination. A person can leave a conversation, block you, or report it to the administrators, who may then read the reported messages (see the Privacy Notice, Section 2).
- Attempt to bypass, probe, or interfere with the Service's security controls, including the admin approval process or the ICS-feed safety checks.
- Use scripts, bots, scrapers, or any other automated means to access, copy, or extract data from the Service.
- Take screenshots, photographs, or recordings of other crew members' data, or share such captures with anyone, for any purpose beyond your own reference in the ordinary use the Service is provided for.
- Attempt to reverse-engineer, decompile, or extract the Service's underlying code or data structures.
- Use the Service for anything unlawful, or in a way that could bring your airline, TeamGT Aviation, or other crew members into disrepute.
Breach of this section may result in immediate suspension or termination of your account without notice, in addition to any other remedy available to us (see Section 9).
6. Other Crew Members' Data
Because the Service's core purpose is showing crew who is operating which flight, approved users can see certain information about other crew members (name, rank, employee number, home base, and roster/duty assignments). See the Privacy Notice Section 6 for exactly what is and isn't visible to whom. By using the Service you agree to treat that information with the same care you'd expect for your own, and only for legitimate crew-coordination purposes.
7. Indemnity
You agree to indemnify and hold TeamGT Aviation Ltd harmless against any claims, losses, damages, or reasonable legal costs arising from your breach of these Terms or your misuse of the Service, such as submitting a calendar feed that isn't yours, or misusing other crew members' data in breach of Section 5 or 6. This doesn't affect any right you have that can't be excluded by law.
8. No Warranty; Limitation of Liability
The Service is provided "as is" and "as available", without warranty of any kind, express or implied, including as to accuracy, availability, or fitness for a particular purpose. It depends on third-party infrastructure (see the Privacy Notice Section 7) and on the accuracy and availability of each crew member's own airline calendar feed, neither of which we control. To the fullest extent permitted by law, TeamGT Aviation is not liable for any indirect or consequential loss, or any loss or damage arising from your use of, or inability to use, the Service, or from any inaccuracy in the roster data it displays. Always cross-check against your official roster. Nothing in these Terms excludes or limits our liability where it would be unlawful to do so: including for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any statutory right you have under data protection law (including your rights under UK GDPR Article 82).
9. Suspension and Termination
We may suspend or terminate your access at any time, with or without notice, for conduct that breaches these Terms, for security reasons, or if you are no longer eligible to use the Service (for example, you leave the airline). You may stop using the Service at any time. You can delete your own account and all your data immediately and permanently, yourself, at any time from Options; this cannot be undone. If you'd rather we do it for you, contact us (Section 11) instead (see the Privacy Notice Section 12 for your rights).
10. Changes to These Terms
We may update these Terms from time to time. If a change is material, you will be shown a mandatory acceptance screen the next time you sign in and asked to accept the new version before continuing. This applies to every account, not only new signups. The version date at the top of this document tells you which version you last accepted.
11. Governing Law & Contact
These Terms are governed by the laws of England and Wales. For support, questions, a data request, or to report a security concern, contact contact@rostershare.app.
